Timecard Guide

We no longer use BusyBusy. The Bella Terra Timecard is now part of the portal — install it once and you'll have it on your home screen like an app.

1 Install the Timecard on your phone

One-time setup. Once installed it lives on your home screen — no browser, no typing the URL.

iPhone

  1. Open Safari (not Chrome) and go to bellaterra.services/timecard
  2. Tap the Share button (square with up arrow at the bottom)
  3. Scroll and tap Add to Home Screen
  4. Name it Bella Terra and tap Add

Android

  1. Open Chrome and go to bellaterra.services/timecard
  2. Tap the three-dot menu
  3. Tap Install app or Add to Home Screen
After install, open the app from your home screen. You'll only sign in once — it remembers you.

2 Sign in the first time

If you forget your PIN, ask Rena to reset it. Don't share PINs.

3 Sign in to the portal

You sign in twice by design — once to the main bellaterra.services portal (email/password or Google), and again with your PIN when you open the Timecard app. That's the double layer protecting your hours.

4 Clock In vs. Add Time

The Timecard home screen now has two big buttons:

Pick whichever fits your workflow. Some crew use both — Clock In on jobsite days, Add Time when they forgot to punch.

5 Using Clock In

  1. Tap Clock In.
  2. Pick your project. The dropdown is ordered:
    • Today's scheduled job first (from the office schedule)
    • Last project second
    • The rest A → Z
    Type 1-8 letters in the search bar above the dropdown to filter the list.
  3. Pick your class (BLC, IRC, PLC, SPC, HYC, SEC, DUC…). If a class has more than one role, the card expands and you pick the role (Truck Driver, Cannon Master, Laborer, Operator…). The wage shows on the right.
    If your class or role isn't there, tap the amber "Don't see your class or role?" button at the bottom. Liz/Emily/Rena get a text instantly and you'll get one back when it's fixed.
  4. Confirm clock in. Add equipment + notes if helpful, then tap the big green button.
While you're clocked in, the Timecard screen shows a green "Clocked In" banner at the top with a live timer, your project, and three buttons: Clock Out (red), Lunch (amber, pauses the clock), and Switch → (jump to a different project mid-day).

6 Using Add Time

For crew who don't punch in/out and just type their hours later:

  1. Tap Add Time on the Timecard home screen.
  2. Pick the date (defaults to today, any past day in the open week works).
  3. Type start time + end time, pick the project + scope, add notes if needed.
  4. Save. Entry appears on your timecard immediately.

7 Switch projects mid-day

If you're already clocked in and move to a different job:

  1. Tap Switch → on the green banner at the top.
  2. Pick the new project + scope.
  3. Confirm. The system clocks you out of the previous project and starts the new one with one tap.

8 Take a lunch break

Tap the amber Lunch button on the green clocked-in banner.

If you forget to come back from lunch (or forget to start it), the office can fix it from the Entries tab. Just text Liz so payroll doesn't pay a 3-hour lunch.

9 Clock out

Tap Clock Out (red button on the green banner). Your hours land on this week's timecard automatically.

10 Fix or add an entry later

  1. Open the Entries tab at the bottom.
  2. Pick the range (Day / Week / Month / Custom) at the top.
  3. Tap Edit on any entry to change it, or + New Entry to add one you missed.
Crew can edit their own entries up until Monday at 10 AM, then timecards lock for payroll.

11 Request time off

The PTO tab in the Timecard app is where you request paid days off or unpaid days off.

  1. Tap the PTO tab at the bottom (umbrella icon).
  2. Your available PTO balance shows at the top (accrues 1 hr per 40 hrs worked, nightly).
  3. Tap Request PTO (uses your balance) or Request Unpaid (day off, no balance used).
  4. Tap days on the calendar. Green = will auto-approve. Amber = falls in the Aug 15 – Nov 15 window and needs Rena's approval.
  5. Set hours per day + skip weekends if you want, then Submit.
Auto-approved requests post immediately to the BT Landscape calendar in red ("Your Name PTO") so the office sees the days off. Rena gets an SMS either way so she stays in the loop.

12 Sign your timecard each week

Pay week runs Sunday → Saturday. Sign your timecard before Monday morning so payroll can run.

13 What each tab does

The Progress, Reports, and Admin tabs only appear if you're office staff. Crew don't see them.
